Job Description The Xavier Lab and Microbiome initiative at The Broad Institute is seeking a full-time Sr. Operations Specialist, whose main role is to oversee administrative operations (including, but not limited to research finance and compliance: personnel costs and effort, pre and post award sponsored fund management and coordination of compliance protocols to sync with funding) for the research activities of Dr. Ramnik Xavier, a Broad core faculty member and Co-Director of the Infectious Disease and Microbiome Program with a substantial research group and significant funding from federal, philanthropic, and industry sources. We are looking for a dependable and creative individual with a expertise in research finance, excellent organizational skills, and intellectual curiosity. The candidate will oversee day-to-day administrative operations to ensure successful research outcomes in a fast-paced and dynamic environment. Responsibilities Leads pre-award fund administration, including maintaining PI CVs, publications lists and other support pages, identifying funding opportunities, interpreting calls for proposals and implementing a work plan for proposal development and submission, working closely with PIs to develop proposal budgets and budget justifications, and assembling all proposal components, including coordinating with IRB and IACUC and other research protection areas, as needed, to submit complete proposals to the Office of Sponsored Research for review and submission. Leads post-award fund administration, including working closely with PI to implement his strategy for assigning personnel to research projects and funding, monitoring personnel costs and effort, maintaining an inventory of research protection protocols and proactively updating them as needed, monitoring spending on materials, supplies, platforms and other research costs to ensure financial health and compliance, reviewing and approving quotes for fund availability, managing subawards and billing agreements. Ensures lab meets all fund submission and reporting deadlines including RPPRs, FFRs, stewardship reports, and other reports and presentations for sponsors; acts as lead on all elements of these reports coordinates deliverables. Primarily liaison and coordinator with the Broad Office of Sponsored Research, Development Office, Office of Strategic Alliances and Partnerships, Office of Strategic Operations and Alliance Management, Finance, Procurement and research protections (e.g., IRB, IACUC, COI) and Broad platforms. Builds strong relationships among the Broad, MGH, and other collaborating institutions that work with the Xavier lab. Serves as point of contact for Xavier principal investigators, collaborators, and project managers and coordinates information from scientific collaborators Regularly reviews research finances at the detailed and aggregate levels and reports to PI on status and projections and acts as the primary liaison with OSR, procurement and finance related to the research finances. Develop and maintain Standard Operating Procedures (SOPs) and tracking tools for administrative processes integral to streamlining and ensuring compliance on research projects. Requirements A minimum of 5-years of work experience managing sponsored research finances, including of pre and post award fund management, in a science or engineering setting. Excellent financial and budgeting skills and fluency in Excel; experience with grants proposal and management systems (e.g., ASSIST, GMAS, Huron, Insights, Kuali-COEUS) strongly preferred. Demonstrated ability to manage multiple complex projects in a diverse, fast-paced and changing environment. Excellent communication and people skills - this role is highly relational. Strong organizational, problem-solving, and analytical skills. Ability to manage multiple priorities with tight deadlines; versatility, flexibility, and a willingness to work with constantly changing priorities. Team player who can work independently and thrives on a fast-paced demanding environment with a strong ability to influence without direct authority.
