The Purchasing Analyst will support end-users with purchase order generation, resolve invoice reconciliation issues, ensure compliance to policies and procedures, and support the supplier maintenance process. Reporting Relationship: Vice President, Finance and Accounting

Responsibilities

  • Create new Purchase Orders including ensuring that proper expenditure support documentations are provided and that required approvals are obtained
  • Maintain existing Purchase Orders including adjusting PO status as needed (e.g. close, re-open, cancel, withdraw)
  • Proactively identify the need for Change Orders and manager the Change Order process to authorize timely amendments to an existing Purchase Order
  • Communicate Purchase Order and/or Change Order information to the suppliers and/or to internal customers
  • Ensure that goods and/or services are ordered and received on a timely basis and meet required standards
  • Act as a liaison with the Suppliers, Contracts Management team, Finance, Accounts Payable, and other stakeholders to support an effective and responsive procure pay cycle
  • Register new suppliers including obtaining required IRS support documentation (e.g. W9, W8BEN-E)
  • Maintain existing supplier mater data including updating supplier status, remit/order address, contact information, payment terms/method, and/or tax status
  • Develop and conduct training on procure to pay processes to business partners
  • Provide testing support for system upgrades/changes
  • Provide input to Standard Operating Procedures and/or Policies, maintain user guides for procurement processes
  • Lead process improvement initiatives on an ongoing basis
  • Ensure compliance to internal/SOX controls and provide support to audits
  • Perform other duties as assigned
  • Qualifications

  • Bachelor s degree preferred
  • Two to three years work experience in purchase order processing preferred, knowledge of inventory planning or materials management a plus
  • Experience working within a regulated environment preferred, knowledge of the pharmaceutical industry (cGMP compliant facility) a plus
  • Ability to prioritize and handle numerous tasks simultaneously; detail oriented
  • Ability to identify and drive continuous improvements
  • Work well under pressure and with limited supervision
  • Customer focused
  • Strong computer skills in Microsoft Office Products including Excel, PowerPoint, and Word
  • Knowledge of Oracle Fusion a plus
  • Experience with a CMS is preferred (i.e. Agiloft)
  • Strong organizational, interpersonal, and communication skills required
